Why Do I See System Created Owner Credits?

This article will show why and how the system prompts you to create a credit towards an owner.

  • When you navigate the Rentvine software, you may notice there are some credits that were not created by a user, but instead created by the System.

  • The reason this typically occurs is when a management fee / suppressed fee is paid as normal by the tenant and is billed to the owner and paid out to the management company. At a later date, the tenant payment that funded the management fee was either voided/returned, meaning the property management company was paid out for a charge that is no longer paid. This causes the system to prompt you to create a credit to compensate the owner for the bill they paid for the management fee since it is no longer paid.
  • Another reason this could occur is if a management fee / suppressed fee is paid as normal by the tenant and billed to the owner and paid out to the management company, but at a later date the charge itself  is voided instead of the payments.
  • Here you can see an example of how this may have happened. In this example, the management fee (Late Fee) was paid by the tenant and the management company billed this out as normal.








  • If for any reason the tenant's payment is returned due to things such as NSF, incorrect card numbers, etc. It will show on the lease as returned and you may see the charge as unpaid now. This occurs after the management fee is already paid by the owner.

 

  • Now that the original payment was returned, this means the owner was billed for a charge that no longer shows as paid in the system. Next time the property management company goes through the billing process, they will see a credit amount due to the owner now. 

  • Once this is created, you will see the credit under the Money Out > Credits



You can confirm this is a system-created credit by clicking the credit and scrolling towards the bottom to view the Timeline of the credit. Here it will show the User who created the credit and a brief description as to why it was created.
