This article will explain all of the property manager field diagnostics and how to make any necessary corrections.
With the introduction of the new property assignee field, there may be necessary corrections that need to be made. To make this transition easier, there is a diagnostic page to help guide you to where corrections need to be made.
- To view the diagnostic page you will click your settings and then click "Property Managers Diagnostic" under the Properties & Units section.
- You will see three sections in here for any corrections that need to be made. These three sections will be reports, saved searches, & migration issues.
Reports
- The first section will be reports. Here you will see the name of the report, the type, and the usage. These are saved reports in the system that are currently using the property manager object as either a filter, column, or a grouping. These will all need to be changed to use the new property assignee field.
- To start correcting these you can click on the row. This will take you to the saved report that you have in the system. You will then need to change the object that is using the property manager field and change it to the property assignee field. For this example, this report had it as a filter, a column, and a grouping.
- You can click the "Customize" option in the top right. If it is a filter you will click the filter section and deselect the property manager option. You can then click the add new filter and add the property assignee filter. You will have the option to select the same user that was previously the set property manager.
- If the object you need to change is a column, then you can click on the columns tab. Here you will be able to drag and drop the property assignee from the available columns to the selected columns. You will also need to move the property manager column from the selected columns to the available columns to remove it from the report.
- If the object is a group then you can click the grouping tab in the customize report section. In here you will just need to change your selection from property manager to the property assignee option.
Please note that for all of these options, you will need to run the report and then click the save icon. You can also turn off the toggle for "Save as New Report" to override the saved report you currently have.
Saved Searches
- This tab will show you any saved searches that are currently set throughout the system. This will show you the name of the search and the list view where this saved search is set.
- To view these you can click the row and it will take you to that saved search with all of the current filter options. You will need to remove the user from the property manager field and add that user as the property assignee.
- You will then need to click the save icon. In here you will enter the name of this saved search and save it as a new one.
- To remove your old saved search you can click the save icon and then click view all saved searches. You will see the old saved search here and you can click the trashcan icon to delete it.
Migration Issues
- The last tab will be the migration issues tab. This will show you any issues that the system had during the migration where it could not automatically update the information.
- The first section here will be for property manager issues. During the migration, the system read the email set under the property manager and read the list of users in the system. If these emails matched, it would automatically add that user as the property assignee if they were set as the property manager on a property. If you see users here then it means the email did not match and could not be changed.
- To view all of the properties this occurred on for a user you can click the row. This will pull up a list of properties that user is listed as the property manager.
- You will first need to remove the property manager field by clicking the edit icon under the rental details. You can click the "X" in the property manager field to remove them. Make sure to click "Update" after this is done to save these changes.
- You will then need to click on the edit icon in the details section and manually enter the user into the field for the property assignee. You will need to repeat this for all of the properties they are associated with.
- The last diagnostic is for property issues. This occurs because the new property assignee field is just at the property level. The property manager field used to be at the unit level so multiple managers could be attached per unit. This only affects multi units with different assignees.
- To make these changes you can click on the address in the row. This will take you to the property where you can change the assignee for the property as a whole including all of the units.
