Portals Global Settings

This article will review all of the global portal settings. Portal settings configure the resident portal settings, owner portal settings, and sending portal invitations.

  • The Portal Settings contain different options on how to configure both the owner and resident portals. This same area will allow you to send mass portal invites to different user contacts if needed.
  • To get started click your initials at the top right and click 'Settings' > and here you can see the Portals Settings

Resident Settings

 

  • Service Request Disabled - This toggle allows you to disable all tenants' ability to submit a work order

If this is toggled to Yes, this means the tenant cannot submit Service Requests in Rentvine and the Maintenance Tab entirely will disappear from the Users portal

If you do enter an external URL, please ensure to include the entire URL address,
For example https://www.rentvine.com


Adding an external URL will have the tenant still see the maintenance tab, but upon clicking the tab will redirect them to the external URL.

  • Give Notice Disabled - This toggle allows you to disable if tenants can submit a Move Out Notice for their lease 
  • Enabled Security Deposit Payments Direct to Escrow Account - This will allow if the tenant can use the "Pay Deposit" button for security deposits

If the tenant does attempt to make a payment using the Pay Deposit button, it will give the resident an error



The tenant will need to pay the deposit using the Make a Payment button


  • Allow ACH Deposit Return on Move Out - This allows tenants to be refunded via ACH during the move out process
  • Show Vendor Phone Number on Work Order - This will show the vendor's phone number on work orders
  • Show Vendor Address on Work Order - This will show the vendor's address on work orders
  • Service Request Alert - This will be a yellow banner at the top of the Maintenance Request Form for the resident to view

  • Service Request Instructions - This will appear under the Request Details for the Maintenance Request Forms

  • Enable Service Request Priority - This allows the tenant to use the Priority field when using the Maintenance Request Form

  • Payment Instructions - This will be a blue banner under the Payment Type


  • Resident Notice - This will populate in the Notice section of the Resident Portal

 


Owner Settings

  • Is Live Ledger Enabled - This enables the Ledger Tab for the Owner portal

If this is toggled to No, this means the owner will not see the Ledger Tab and it will entirely disappear from the Users portal

  • Combine Discount - This combines the discount amount to the actual bill amount instead of a separate line transaction on the Ledger
  • Combine Markup - This combines the markup amount to the actual bill amount instead of a separate line transaction on the Ledger
  • Is Work Orders Enabled - This enables the Work Orders Tab for the Owner Portal

If this is toggled to No, this means the owner will not see the Work Orders Tab and it will entirely disappear from the Users portal

  • Allow Manage ACH - This toggle allows if the Owner can manage their own Distribution Settings and where funds are sent

If you toggle this to No, the owner will not see this option to edit Distributions

  • Is Show Bills Enabled - This enables the Bills Tab for the Owner portal

If this is toggled to No, this means the owner will not see the Bills Tab and it will entirely disappear from the Users portal

 

  • Auto Share Invoice On Bill - This toggle will auto-share invoices on a bill to the owner
  • Is Rent Roll Enabled - This enables the Bills Tab for the Owner portal

If this is toggled to No, this means the owner will not see the Rent Roll Tab and it will entirely disappear from the Users portal

  • Show Tenant Names - This allows the Owner to see the Tenant's name on the Rent Roll Tab

  • Show Lease Balances - This allows the Owner to see the Balance on the Rent Roll Tab

  • Show Move In Dates - This allows the Owner to see the Move In Date on the Rent Roll Tab

  • Is Public Statement Enabled - This toggle allows owners to view their owner statement directly from their email once they receive the notification that their owner statement was posted. 
    Here is an example of an email they would receive, the Access Code will be in the same email.


Send Portal Invitations

 

 

  • This allows you to select a specific Contact Type, either vendor, owner, or tenant
  • Once the type is selected, you can also toggle if you want to Exclude Registered Contacts & Excluded Invited Contacts




  • This will show all contacts for this type for the toggles you have enabled, and from here you can select either all contacts by clicking the top checkbox, or select individual contacts, and you can send a mass invitation to these contacts all at once here
