Getting Started

  • To get started, the first thing you will want to do is go to your Reports Tab and select the Lease Charges report. This can be found by either typing in the Search tab or going to the Lease report section and finding this report here.

  • This will bring you to a new tab to run the report. This report, by default, will present multiple filters that you can set when running this report. These are not required filters and are all completely optional to use.

    • Date Posted - This filter is used to track charges within a specific timeframe of your choosing.
    • Primary Lease Status - You can adjust this between the 3 main Lease statuses, Pending, Active, and Closed
    • Lease Status - This allows you to filter by a specific lease status that you want to find
    • Lease - You can filter by specific leases only
    • Account - This filter allows you to filter and only find charges under a specific chart of accounts
    • Amount - This will be the specific charge amount you are filtering by
    • Amount Paid - Here you can filter the exact amount is paid on a charge
    • Amount Due - This filters by the amount the tenant owe at the time the report is ran
    • Voided - Filter if the charges are voided or not
    • Paid in Full - Filter if the charge has been paid fully or not

Here is a quick reference on what these filters mean.

  • Equals - This allows you to select only one option in the filter
  • In - This allows you to select multiple options to Include in the filter
  • Not In - This allows you to select multiple options to Not Include in the filter
  • Is Empty - Results will appear if the field Is Empty
  • Is Not Empty- Results will appear if the field Is Not Empty

  • You can also add filters by selecting the Add Filter option

Filtering Specifics

  • To find any charges that have not been paid in your system, you will need to use both
The Voided Paid in Full filter and set this to No.

This will, at the very least, show you all unpaid charges for every lease created in your system

  • To narrow this down even further, you can use the Primary Lease Status filter and set this to Active Closed. This will show only leases that are currently active or closed out; no pending leases with unpaid charges will populate here.

  • If you would like to only show certain charges, such as Rent Charges or Late Fees, you can do this in the Account Filter

  • You can organize the report even further by Grouping the results by lease.

This will section out the charges by Leases.

You can also drag and drop the column to the Grouping section to do this as well

  • Once you have your desired report, you can save this as a new report by clicking Save located at the top right.

  • Name your new report, and this will now be saved in your Saved Reports section for easier access

FAQ

  • Does this saved report keep all the filters and column changes I made?
    • Yes! Anything you changed for this custom report will be saved, and whenever you or another team member uses this report, it will pull the saved filters / columns

  • Can this report be sent to me every month?
    • Yes! To do this, you will first need to create the report following the steps of this article. Afterward, you can create a Scheduled Report so that this sends periodically to those you set this to. For more information about Scheduled Reports, please view this article:  Creating a Scheduled Report

  • Will this pull for future dated charges?
    • If you have the Date Range filter set to All Time, then Yes, this will show all charges, even future-dated charges. To show charges only posted on the Day the report is run or previously, use the On or Before Today option under the Date Posted filter

  • Is there a Dashboard Widget that will show all this information as well?
    • At this time, there is not, but you can use the Balance Statistics widget and it will pull very similar information only for the current month for All Leases. You can also use the Overdue Leases , and this will pull all leases with an overdue balance.
