Global Setting Overview

 

  • Go to your global settings by selecting your initials in the top right corner of your screen.

 

  • Select Settings.

 

  •  Click into the "Settings" under the Rentsign domain.





Default Days Until Document Expires

The Default Days Until Document Expires setting determines how long a Rentsign document remains valid for signature after it has been sent.

  • Default value: 120 days

  • Range: Minimum of 1 day, maximum of 255 days

  • Format: This field is based on numerical days

This setting can be adjusted to fit your organization’s needs. For example, if you set the expiration period to 60 days, the document will automatically expire 60 days after it was sent out for signature.

 Important: Once a document expires, it can no longer be signed. A new version must be generated and sent for signature.

Default Days Until Starting Reminders

The Default Days Until Starting Reminders setting controls when the first reminder is sent to a pending signer who has not yet signed a document.

  • Default value: 1 day

  • Range: Minimum of 1 day, maximum of 255 days

  • Format: This field is based on numerical days

This setting can be adjusted to match your organization’s workflow. For example, if you set the value to 6 days, the first reminder will be sent exactly 6 days after the document was issued and remains unsigned.

Important: This setting only determines when the first reminder is sent. Additional reminder settings may further control follow-up notifications.

Default Reminder Frequency in Days

The Default Reminder Frequency in Days setting determines how often reminders are sent to a pending signer after  the initial reminder has been issued.

  • Default value: 1

  • Range: Minimum of 1 day, maximum of 255 days

  • Format: This field is based on numerical days

It’s important to note that this setting only takes effect after the Default Days Until Starting Reminders period has passed. In other words, the starting reminder setting always takes precedence.

For example, if this field is set to 5 days, reminders will continue to be sent to the signer every 5 days after the first reminder, until the document is signed or expires.

Important: This setting controls the frequency of reminders, not the start time. Always configure it in tandem with your starting reminder settings for best results.

Default Days Before Expiration to Start Expiration Notice

The Default Days Before Expiration to Start Expiration Notice setting controls when the system stops sending standard signer reminders and begins sending urgent “About to Expire” notices. These notices use stronger, time-sensitive messaging directed at the recipient.

  • Default value: 3 days

  • Range: Minimum of 1 day, maximum of 255 days

  • Format: This field is based on numerical days

For example, if the Default Days Until Document Expires is set to 200 days and the Default Days Before Expiration to Start Expiration Notice is set to 20, the system will switch from regular reminders to expiration notices once the document reaches 180 days unsigned.


Important:
This setting applies specifically to expiration notices, not standard signing reminders.

 


 

 

Individual Document Settings

 

  • To view the settings within an individual document,  you will create the document as normal and add all necessary information. 

 

  • When sending out the document, you will be prompted with multiple items under the "Expiration Settings" and "Reminder Settings". The individual settings are listed below:
    • Expiration Date- Will be the date the document as a whole expires, and will no longer allow signable parties to complete the signature process.
    • Days Before Expiration To Start Expiration Notice- The number of days prior to the specified expiration date when recipients will begin receiving notifications alerting them that the document is approaching its expiration and requires their signature.
    • Days Until Starting Reminder- Days from the send date in which the current signing party will be notified and reminded to sign their Rentsign document. 
    • Reminder Frequency In Days- The number of days between reminder notifications if a party has yet to sign the Rentsign document. 

Below is an example of the expiration notification that is sent out to signees who have yet to sign the document. 

 

 


Dashboard

 

  • Within your main dashboard, you will now be able to add a Rentsign Dashboard. To add this, navigate to the main dashboard by clicking "Dashboard" in the left navigation bar.

 

  • From here, you can click "Add" in the top right and then select "Send Documents" under the Rentsign section. 

 

  • This will display the name of the Rentsign document, the date the document expires, the total recipients in the signable packet, the recipients that have signed the document, and the recipients that have yet to sign the document.

 

 


Q&A

Q: Does the explicit Expiration Date always win over the “days until” default?
A: Yes. If you set a specific date, RentSign uses that date as the backstop.

Q: Can recipients still view the document after expiration?
A: The signing link no longer works after expiration. To proceed, extend and resend the envelope.

Q: What reminder cadence do others use?
A: Common defaults: start reminders within 1–3 days, repeat daily or every 2–3 days; send explicit “about to expire” notices 1–7 days before deadline.
