Maintenance Work Order History

This article goes over the Work Order History and best practices to maneuver this feature within Rentvine.

  • The new Rentvine Maintenance History feature allows you to view the full history of work orders for a property. This is separate from active work orders, making it much easier to search and track past activity.




  • You can access Maintenance History on any property under the Maintenance tab.







    If the property is set up as a multi-unit, you’ll see all work orders tied to its units directly at the property level. This means you don’t need to click into each individual unit to find related work orders.



    Of course, you can still go to the specific unit if you’d like to view work orders for just that unit.




  • You can also access this page directly from a work order. Simply select View Property History, located at the top right of the work order screen.





 

Columns and Statuses

 

Columns




  • Number - This will be a direct hyperlink to direct you to the actual work order
  • Technician - This is the vendor or internal maintenance tech assigned to the work order
  • Status - This is the status of the work order 
  • Unit - This is the specific unit the work order is tied to. If you see ' - - ', this means the work order is not assigned specifically to a unit, but the whole property itself
  • Priority(not on Past Lease) - This is the Priority severity of the work order
  • Description - This gives the work order description
  • Assignee (not on Past Lease) - This shows the user assigned to the work order
  • Due Date (not on Past Lease) - This shows the entered Due Date for the work order
  • Scheduled Start Date(not on Past Lease) -  This will show the entered Scheduled Start Date of the work order
  • Scheduled Maintenance Window (not on Past Lease) - This will show the agreed upon Scheduled Maintenance Window for the work order
  • Amount Billed (not on Past Lease) - This shows the Amount billed for the work order
  • Amount Paid (not on Past Lease) - This shows the Amount that has been paid currently 
  • Maintenance Category (on Past Lease) - This shows the Maintenance Category tied to the work order
  • Incident location (on Past Lease) - This shows the location of where the work order is located
  • Issue / Resolution Photos (on Past Lease)- These are clickable icons to show either the Issue Photos or the Resolution Photos

 

Statuses


  • All - This will show all work orders tied to the property, regardless of the status
  • Active Leases - This will only show work orders attached to an active lease 
  • Make Ready - This will only show work orders attached to the property or unit specifically, and not leases
  • Past Leases - This will show all work orders attached to a Closed Lease
  • Recurring -  This will show all Recurring Work Orders currently set up for the specific property

 

With Maintenance History, you have a complete record of everything that’s happened at a property, all in one place. Whether the work order was tied to an active lease, created for a make-ready, or set up as a recurring task, it’s now easy to find and review.

This makes it simple to:

  • Look back at past work to see what’s already been completed.

  • Verify details like who handled the job, when it was done, and what was billed or paid.

  • Keep owners and tenants informed with accurate history on repairs and maintenance.

  • Save time by not having to jump between units or search through multiple screens.

By keeping all of this organized and accessible, Maintenance History helps you stay on top of property care and ensures nothing slips through the cracks.
