Lease Renewal Feature

  • This goes over the Lease Renewal Process and all the new available actions that can be taken going through this new flow
  • This makes the process a lot easier and allows you to create offers and documents for the tenant to sign off and continue their lease, including updating charges, the lease details, etc.
  • With the new feature, there is a new System Setting, a new Rentsign Template Type, and an Offer Template

Lease Renewal Settings

  • Navigate to the Global Settings and go to Lease Settings



  • The specific setting that allows leases to show up on the lease renewal page will be the Renewal Eligibility Days - 
    Number of days before the lease end date when leases will appear on the Renewals Review tab



    You can adjust this field to be any numerical value.

Lease Offer Template

  • In your Global Settings, you will see a Renewal Offer Template


  • On the screen, you will see all existing templates and allow you to create new templates if needed



  • This will allow you to adjust how the template pulls information to calculate the new Rent, the Terms, and descriptions for the offer
    This is especially helpful if you use the same information for multiple Lease Renewals 



    You can see an example of the offer template as well on the right side of your screen for more clarity, if needed.


Lease Renewal Flow

  • On the main screen, you can click the Lease tab, and you will see the new Renewals section



  • Once you click on the section, you will see the Renewals screen and notice it is broken into 4 separate sections: Review, Price & Send, Sign, and Finalize



  • You will also have the Filters option to help find specific types of leases 



Review Stage

  • In the Review stage, all leases that have an end date that falls within the range of Renewal Eligibility Days set number will appear here



  • Selecting the lease will give you an overview of the entire lease itself. The Overview gives you the main lease details / timeline, but you can also view the tenant's Payment History, any Notes attached to the lease, Rentsign Documents tied to the lease, and Files attached to the lease as well



  • After viewing the lease information, you can decide whether to continue with the Renewal Process or start the Move Out process

Selecting Move Out does not redirect you to the lease itself and makes you go through the entire move-out flow. This will only initiate the Move Out flow, but you can come back to the lease anytime to continue the flow and complete everything at any point in time on the lease itself.

  • Selecting multiple lease allow you to do bulk actions as well if needed. In the review stage, you can mark multiple leases for move-out or select multiple leases and renew them.






Price & Send Stage

  • This will show any Leases that are going through the renewal process that still need to create offers for them.

    Selecting a lease takes you to this offer screen, which allows you to create an offer for the tenant here. You can create an offer from scratch or use an offer template,



There can only be three offers per lease renewal

  • Once the offers are created, you can submit them for review, which means another team member can look over the offers that would be sent to the tenant



    Alternatively, you can approve of it directly and send it straight to the tenant by clicking the arrow next to Ready for review



  • If the offers were sent to the Ready for Review status, the next team member can see the ready for review leases



    Just like before, the team member can approve it or they can approve it and send it directly to the tenant



    Once it has been sent to the tenant, you will see the lease go to the Awaiting Tenant Status

If the offer was sent out to the tenant, you can always rescind the offer and make adjustments if needed. You can also manually mark the offer as  Tenant Accepted if the offer was accepted outside the flow in Rentvine, such as verbal confirmation in person

  • Once you send this out to the tenant, the tenant will receive an email notification letting them know offers were sent their way.
    They will be able to view these offers in their lease directly

  • Here, the tenant can then decide the exact offer they would like to continue forward with and click Accept Offer


  • Once completed, the tenant will see on their end they've completed all their steps on their end. They can always come back to the lease to view the Lease Renewal Process as well



  • Selecting multiple leases at this stage allows you to generate contracts, cancel contracts, move out, and apply templates.
    Depending on all the different types of statuses selected, the bulk action will be limited to what is allowed between the statuses 

     

     

    Sign Stage

    • Here you will see all leases where the tenants have selected and accepted offers, or if it was manually marked as tenant accepted

    • Selecting the lease you would like to renew takes you to the Document Creation screen. Here, you can create a Rentsign document and send it to the tenant directly from Rentvine.

    The Rentsign Template fields will only use Lease Renewals as the template type

    • Additionally, if you complete these documents outside of Rentvine utilizing another software, you can still mark them as Generated or Contract Sent. This won't actually generate a Rentsign Document, but just track in Rentvine the step your team is on in the separate software



    • Once you create a document for the lease renewal, you can send the document out for signatures.




    • Once all parties have signed, it will go towards the final stage, Finalize

     

    Finalize Stage

    • This will show all lease renewals that have signed off on the documents and need to finalize the lease details information to finish the lease renewal flow

    • Clicking on the lease renewal will prompt you to enter the new lease details, renewal fee, and add/update recurring charges if needed



      Once done, you can select Update Lease Object to update the lease with the following information.
    • When you select multiple leases, you have the option to export details if the leases are all Completed.
      If the lease details still need to be updated, bulk actions will give you the option to mark them as executed or mark them for move out
