This article will go over the Prospects Feature within Rentvine and how to utilize this to its full potential.

Overview of Prospects 

  • Getting started, to find the Prospects Tab, click the Screening Tab and select Prospects.









  • The Prospects screen will show you all prospects in the system. The menu presents you with their Name, unit of interest, activity date / time, status, and Source of the prospect. 

 

By default, the system will show the prospects with the status New, Invitation Sent, and Application Started. The prospects are automatically sorted by the most recent activity.



If you'd like to see other prospects that fall under a different status, click the Status filter or Filter Icon





Here you can adjust the status filter and what is shown. 
This does not adjust the default filter when the prospects tab is clicked

 

  • To find more details regarding the prospect, you can click on any prospect, and it will present details and an area of communication for the prospect.






  • On this same page, you can send Text Messages, Emails, Create Notes, Edit Prospect Details, and Send Invites to the prospect if needed. This page will also have a Timeline Section showing any and all changes made.

    Prospect Details

    • Adjust the Prospect's details here, such as their name, email, phone number, and unit they are interested in.






    Email & Text Message 

     
    • Here you can send a direct text message to the prospect or email them as well .

    Invites

     
    • To send a prospect an application invite, you can click the green Send Invite button. Once sent, it will show information on the invite under the Invitation section and update the status of the prospect. You can add multiple applicants to send an invite to as well












    Timeline Section

    • This area is located at the bottom of the prospect's page and will show any changes that have occurred for this prospect, including the user who made the adjustment, what was adjusted, and the time and date it was adjusted.



When sending emails in the prospects page, you can use the new email template type, New Screening Prospect Email Template, to make it easier to email prospects.

  • The Status of the prospects is all automated by the system and will be adjusted through their process of the application
    • New - This is a new prospect created recently, and no other action has been taken yet for this prospect



    • Invitation Sent - An invitation was sent to the prospect for them to get started on the application process.



    • Application Started - Prospect has started on their application process but has yet to complete it.



    • Application Submitted - Application has been fully submitted by the prospect, and their new application will automatically populate in the Application Tab



    • Archived - The Prospect may not have followed through with the application and is now inactive. You can also unarchive if needed








 

Creating a Prospect

  • If you need to create a prospect manually, you can do so by going to the main Prospects page and clicking the Add Prospect button. Here you will also enter the prospect's information.





    You can, from there, invite the prospect again or revoke the invite if needed.,





  • If you would like to invite a prospect entirely, you can also do so on the same screen by selecting the Send Invite button. Here, you can invite multiple applicants to apply at once 






The difference between these two options is that adding a prospect will automatically create the prospect card within the system. 





Whereas the send invite button will only send them an email to have them apply to the property of interest, and once the application process is started from the prospect/applicant's end, it will generate a new prospect.



 

  • Additionally, there will also be a Personal Notification added to monitor these submissions. 

At this time, prospects from Zillow will populate in Rentvine only if you syndicate directly to Zillow from Rentvine.

 

Additionally, prospects will also be created if you’re using a PMW website or have integrated the Rentvine listing widget on your own website.
