How to Create Work Order Projects and Templates

This article will show you how to create a Work Order Project and add existing Work Orders to the Project. This will also show how to create a Work Order Project Template.

Creating Work Order Projects

  • To create a Work Order Project, you will need to navigate to the Maintenance Tab > and click Projects




Previously created Work Order Projects will be displayed here

 

  • To create a Project, you can click the green New Project button on the Projects screen




  • This will open a menu where you can enter details for the Work Order Project.

    • Project Template - This field can be used if you have previously created a Work Order Project template.
    • Name (required) - This will be the name of the Work Order Project you are currently creating.
    • Description - Description of the Work Order Project
    • Property / Unit (required) - The property / unit this project will be attached to
    • Status - This will be the starting status of the Work Order Project
    • Managed By - Which property manager this project will be managed by
    • Actual Start Date - The actual start date of the Work Order Project
    • Actual End Date -  The actual end date of the Work Order Project
    • Scheduled Start Date - The date the Work Order Project is scheduled to start
    • Scheduled End Date - The date the Work Order Project is scheduled to end



 

  • After creating the project, you can add new Work Orders and attach them straight to the Project by clicking the blue Actions button > and clicking Add Work Order




  • This will bring up the Work Order creation screen and automatically populate the property assigned to the Work Order Project

  • Once this work order is created, it will automatically be attached to the Project and show under the list of Work Orders





    Editing Work Order Projects

  • To edit the information on a Work Order Project, you will need to click the blue Edit button at the top right of the project.


    • This menu will allow you to edit all information you previously entered on the project during its creation

    • The "Would you like to update the property / unit on all work orders associated to this project?" toggle is only used if you are updating the property this Work Order Project is attached to and would also like to mass update all Work Orders attached to the project as well. If left disabled, the work orders will remain attached to the previous property.



To reorder the work order list, click the blue Actions button > and click Reorder Work Orders

 

  • Once a work order under a project is closed the Percent Complete will update automatically on the Project screen

  • To add an already existing Work Order to a newly created Project, follow these steps:
    • You will first want to navigate to the Work Orders page and select the Work order you want to add

    • You can then click the blue Edit button under the Work Order Details section

    • You can scroll down until you see the Work Order Project field

    • Click the dropdown menu and select the Work Order Project you would like to attach this to and click Save

    • Once this is done, you can confirm the Work Order is now attached to the project by seeing this information in the Work Order Details Section




Creating a Work Order Project Template

 

  • To create a new Work Order Project Template click the Projects tab > click Templates > and click New Template

  • Here, you can enter the name of the template and the description you would like to give the Project Template



  • After creating the template, you can add either Add New Work Order Template or Add Existing Work Order Template. This can be done by clicking the blue Actions  button

  • Once the template is added, it will show under the Associated Work Order Project Templates


  • Doing this will pre-populate the Work Orders under a new Project using this Work Order Project Template once the Project is fully completed
