Q. What does this error mean?
If you see “This report couldn’t be run due to an external system processing error” (or similar wording like “external processing error”) when running a screening report, it means the report couldn’t be completed on the first attempt. In almost every case, this is something you can resolve yourself in a couple of minutes.
Before trying anything else:
Double-check the applicant’s address fields for typos, extra spaces, or stray punctuation.
Make sure the address is a real, current residential address — not a placeholder like “N/A” or a PO Box.
Try running the report again.

Q. What’s the most common cause?
The vast majority of these errors come down to small issues in the applicant’s address fields. Check for:
Special characters — periods, commas, slashes, dashes, #, &, or $ anywhere in the address. Even a single stray period can cause this.
A missing house or street number — the address needs a complete street number to process.
Two addresses combined into one field — for example, an old address and a new one both typed into the same line.
Extra spaces, or placeholder text like “N/A” in an address field — use the applicant’s actual address instead.
An apartment or unit number typed into the main address line — it belongs in its own unit field, as just the number or letter (avoid including the word “apt”).
A PO Box — these aren’t accepted; use the address the applicant is actually applying for.
After correcting the address, simply run the report again — this resolves the error in almost every case.
Q. What if the address format looks right, but it’s not a real residence?
Occasionally the address fields are formatted correctly, but the address itself isn’t a valid place of residence — for example, an entry like “shelter” instead of an actual street address. If that’s the case, update the field to the applicant’s actual current address or the address they’re applying for, then run the report again.
Q. What if the address is completely correct and it’s still failing?
Sometimes the address and applicant information are entirely correct, and the error is just a brief outage on the screening provider’s side. If you’ve confirmed the address is accurate and complete, try running the report again — this often clears the error on its own.
Q. Still failing after checking all of that?
If you’ve confirmed the address is accurate and complete, and a rerun still produces the same error, this may be a backend issue on the screening provider’s side rather than something in the application. In that case, please contact Rentvine Support with the applicant’s name and the property/application link — our team can investigate further and, if needed, work directly with our screening partners to resolve it.
Q. Is every delay an error?
Criminal and eviction checks can take longer to complete than credit checks, which usually return within minutes — this is normal processing time, not an error, and doesn’t need any troubleshooting.
A criminal check that’s taking a while isn’t necessarily stuck — give it some time before assuming something is wrong.
Avoid repeatedly clicking Run Credit Report while waiting on a report. Re-running a report is for addressing an actual error, and each run may add an additional screening fee.
Q. Can I use an address outside of the U.S. for Address History?
No. An address outside the United States isn’t supported for screening and will cause this error. Remove the address, or replace it with the address for the property the applicant is applying to, then run the report again.
Q. What other screening report errors might I see?
Error type | What to check / do |
Eviction report error | Review the address checklist above — a US address, no special characters, no extra spaces, no “N/A,” apartment number in its own field, no PO Box, and a legitimate residential address. |
Credit report error | Can sometimes be a timing issue — try running just the credit report again. If it continues to fail, contact Rentvine Support. |
Criminal report error | Usually resolves on its own. Double-check that the applicant’s date of birth is entered correctly. If it keeps failing, contact Rentvine Support. |
Frozen credit report | The applicant will need to unfreeze their credit through Equifax (equifax.com/personal/credit-report-services/credit-freeze) and then wait a full 24 hours before the report is run again. |
“No credit data” | If the report notes the credit is frozen, follow the frozen-credit steps above. Otherwise, this is often because the applicant has little or no credit history (common for younger applicants) — contact Rentvine Support if you have questions about a specific report. |
