How do I manage security deposits in Rentvine, including transfers, applications, and corrections?

Managing Security Deposits in Rentvine

Security deposits are a critical part of lease management in Rentvine. This guide provides comprehensive instructions for transferring, applying, and correcting security deposits to ensure accurate record-keeping and compliance.

Overview of Security Deposit Management

Security deposits in Rentvine can be managed for various scenarios, including transferring between leases, applying funds to charges, and handling discrepancies. The system allows for manual adjustments to ensure flexibility in managing tenant and owner accounts.

Transferring Security Deposits

Between Leases Under the Same Portfolio

To transfer a security deposit from one lease to another within the same portfolio:

  1. On the Original Lease: - Void any recorded deposit refund to leave the deposit release credit unapplied. - Add a clearing charge for the amount to be transferred. - Pay the clearing charge using the unapplied deposit release credit to zero out the original lease.

  2. On the New Lease: - Add a clearing credit for the same amount. - Apply the clearing credit to the security deposit charge on the new lease.

This process ensures the deposit is accurately moved while maintaining balanced accounting.

Reallocating Security Deposits to New Charges

If a charge is voided and recreated, reallocate the previously unallocated security deposit funds to the new charge. Open the payment/allocation record from the security deposit and apply those funds to the new charge.

Applying and Releasing Deposits

Applying Prepaid Rent from Security Deposits

If prepaid rent is stored in the security deposit account, release funds manually each month to cover rent. Use the lease’s Actions menu to release the required amount to the lease. After releasing the deposit and allocating the funds be sure to record any necessary bank transfers.

Handling Discrepancies and Corrections

Reapplying Payments vs. Recording Bank Transfers

Use the following rule:

  • Reapply funds if the payment was incorrectly applied to the security deposit charge.

  • Record a bank transfer if the payment was correctly applied but needs to be moved between accounts.

Confirming Correct Application of Deposits

To verify that a security deposit was correctly applied or released:

  1. Open the lease and review the deposit activity.

  2. Ensure the Security Deposit shows as applied and released to cover specified charges, with balances aligning as intended.

FAQs for Common Scenarios

Managing Multi-Tenant Leases

For leases with multiple tenants, enter the rent and security deposit as total charges. Rentvine does not support per-tenant payment limits. Tenants should coordinate payments among themselves.

Changing Default Allocation Accounts

To change the default security deposit account for specific portfolios, manually update the Move-In Charges during lease creation. Select the desired account before saving the lease.

Selecting the “Date Posted” for Owner-Held Deposits

Choose a date that aligns with your record-keeping needs. For new leases, using the creation date is appropriate. By following these guidelines, you can effectively manage security deposits in Rentvine, ensuring accurate and compliant lease management.

Tenants Paying Deposits into Trust Account

In the case where a tenant selects the Make a Payment option on the tenant portal instead of the Pay Deposit option, this will be reflected in the receipt details, and for necessary correction, complete a bank transfer in Rentvine and in real life. We recommend adding a tenant portal notice to differentiate these different payment sections
