Managing leases and recurring charges effectively in Rentvine requires a clear understanding of how lease statuses impact billing, tenant access, and payment processes. This guide provides an overview of key lease statuses and their implications, along with actionable steps for common scenarios.
Lease Status Overview
Pending Status
A lease in "Pending" status is not active and will not generate recurring charges or recurring payments set up by tenants.
Pending leases still allow tenants to login and make payment through their portal if they are sent portal access.
Pending leases allow the manager to make changes to the lease including editing lease information, adding charges, recording manual payments, etc.
To activate a Pending lease, click the "Activate Lease" button. If the "auto-activate on start date" toggle is enabled, the lease will activate automatically on the start date.
If there is a currently an active lease tied to the property you will not be able to activate a pending lease until the current active lease is closed. If the automatically active lease option occurs and there is an active lease still the system will notify you of this occurrence as it will not be able to automatically update the lease.
Active Status
Recurring payments set up by the tenant will only post on a lease in an Active status.
Recurring charges post only when a lease is in Active status.
If a lease transitions from Pending to Active, missed charges will post on the next scheduled date.
Closed Status
When a lease is set to "Closed," all recurring charges and payments stop.
Closed leases can still allow portal access if configured.
You can disable portal activity and disable portal payments but if not the tenant will still have access to view lease information and make payments through their portal.
Managing Recurring Charges
Posting Rules
There is a recurring job that will post recurring charges every hour but only on active leases. So if create a recurring charge to start today it will post within an hour of creation on active leases.
Charges do not post for Pending leases, even if a "next charge date" is displayed.
Aligning Charges with Lease End Dates
The lease end date does not automatically stop recurring charges. Set an end date for each charge to align with the lease end date.
Changing the status of the lease to closed will stop the recurring charges.
The lease end date will not automatically change a lease to a closed status this would need to be done during the move out flow.
Voiding and Adjusting Charges
To void charges, open the lease, click the transactions tab, select the charge, and choose "Void" from the Actions menu.
A charge must be completely unpaid in order to be voided. If you do not see the void option this is most likely the case. To reallocate click into the charge and scroll down to the allocated payment section. In here you can click reapply and enter a zero in the amount applied section and click save. You will then go back to the charge and repeat this for any other payments applied to the charge. Once done you will see the void option in the green actions button drop down.
Tenant Payment Issues
Duplicate Leases
After closing a duplicate lease, disable the tenant portal to prevent payments to the closed lease.
Lease Renewal and Termination
Canceling Pending Leases
Deleting leases with previous charges tied to them is not possible. This is the case even if the charges are now voided, as those charges still need to be tied to an object in the system. To cancel a Pending lease, change its status to "Closed" via the Actions menu.
You can create a new status in the settings, lease statuses. You can create a status specifically for leases that are cancelled before moving in.
Troubleshooting Common Errors
Recurring Charge Errors
Ensure all fields, including amounts and dates, are completed when updating recurring charges. Adjust overlapping dates if necessary.
Missed Charges
Missed charges due to a Pending status will post on the next scheduled date after activation.
