Reconciliation 2.0

This article goes over the new Bank Reconciliation feature and how to best utilize this within Rentvine

  • Reconciliation 2.0 is the redesigned way to reconcile your bank accounts in Rentvine. It cuts the time and manual effort of your monthly close by matching your bank transactions to your ledger for you, using Match Assist or Bank Sync. You can review or override any match.

Reconciliation 2.0 is turned on per account. If you don’t see it, contact Rentvine Support.

Reconciliation 2.0 works with bank accounts only. Credit card accounts and Bank Sync for credit cards aren’t supported.

Using this feature, you can:

  • Reconcile using a bank statement upload, a live bank connection, or fully manually — whichever fits your process.

  • Let the system automatically match transactions and flag the ones that need a closer look.

  • See your reconciliation status at a glance, with your progress saved automatically as you work.

This feature also introduces a few new components, including:

  • The Triple-Tie Banner

  • The Match Confidence Tracker

  • The Match Drawer

  • Three reconciliation workflows: Match Assist, Bank Sync, and Manual



Getting Started

Before you start, have these ready:

  • The bank account you’re reconciling

  • Your bank statement for the period, including its ending balance

  • Which workflow you’ll use: Match Assist, Bank Sync, or Manual. This decides whether Bank Sync is on or off.

1). From the left navigation menu, go to Accounting → Bank Accounts

2). In the modal, select your Bank Account

3). Click Actions → Reconcile

4). Choose your workflow: Bank Sync, Match Assist – Upload a Statement, or proceed without selecting either for a manual reconciliation

Interface Overview

Once you're in the reconciliation page, you'll see several updated interface elements:

  • Triple-Tie Banner — Pinned to the top of the page and remains visible as you scroll, so your reconciliation status is always in view. It shows three balances that must agree before you can reconcile:

    • Ending balance: the balance on your bank statement

    • Cleared balance: your beginning balance plus the transactions you’ve checked off

    • Adjusted cash balance: your Rentvine ledger balance, adjusted for outstanding items

When all three match, the banner shows you’re tied out. When they don’t, something is still unchecked, missing from your ledger, or entered with the wrong amount. Start with your No Match items.

Match Assist Workflow (Monthly)

Match Assist is designed for a once-monthly reconciliation. You upload a bank statement, and Rentvine handles the analysis and matching automatically.


​1). Go to the reconciliation page and select your Bank Account

2). Toggle Bank Sync OFF

Bank Sync must be off before you upload. If it’s on, your statement is saved as a supporting document and no matching runs. The upload will look successful, but no transactions will appear.

3). Upload your bank statement using drag & drop or the file picker

4). Wait for analysis to complete

Once analysis is complete, your transactions will be imported, and the Match Confidence Tracker will be populated.

Working through your matches: review them in the order described above in Interface Overview — start with No Match, then Needs Review, then spot-check Matched.

If a transaction is missing from your ledger: leave the reconciliation, add the transaction in Rentvine, then come back. The new transaction appears in the Rentvine list, where you can match it manually. Your progress is saved.

Once all transactions have been reviewed, click Reconcile to complete.



Bank Sync Workflow (Ongoing)

Bank Sync connects your bank account through Plaid so transactions are pulled in automatically as they post. We look for new activity a couple of times a day, not continuously — new transactions appear after the next sync, not the moment they hit your account.

2). Toggle Bank Sync ON

3). Click Connect Bank

Complete Plaid verification:

  • Enter your phone number and verification code

  • Select your bank and complete the login steps

Rentvine never sees or stores your bank login. Plaid handles the connection and shares only your transaction data with Rentvine.

Once connected, your status will change to Connected. Wait for the Last Sync timestamp to appear — this confirms transactions have been pulled in and are ready for review.

“Connected” alone does not mean transactions are ready. Always confirm the Last Sync timestamp before beginning your review.

Enter the Ending Balance from your bank statement for the period you’re closing. With Bank Sync, this field starts at 0.00, so you’ll need to fill it in before the Triple-Tie Banner can tie out.

Working through your matches:

  • Use the Match Confidence Tracker to prioritize your review

  • Focus first on No Match, then Needs Review

  • Click View to open the Match Drawer for any transaction that needs a closer look

If a transaction is missing: if a transaction appears in your bank but not in Rentvine:

  1. Leave the reconciliation page

  2. Add the transaction in your ledger

  3. Return to reconciliation

  4. Click Refresh Matches

If your bank connection stops syncing: bank connections can expire, for example after a password change or when your bank asks you to sign in again. If the Last Sync timestamp stops updating:

  1. Sign in to your bank through Plaid again

  2. Check that the Last Sync timestamp updates before you continue

If you connected the wrong account, use Remove Connector and connect again.



Manual Workflow

The manual workflow lets you reconcile the same way you always have — checking off transactions one by one against your bank statement — now with the updated Reconciliation 2.0 interface.

  • Go to the reconciliation page and select your Bank Account.

  • Ensure Bank Sync is toggled OFF.

  • Don’t upload a statement for matching. If a window asks how you want to use a statement, choose Recordkeeping Only. This lets you attach your statement for your records without running Match Assist.

  • Using your bank statement as a reference, work through the Transaction Table and check off transactions as you verify them.

  • Use the Rentvine ↔ Bank Toggle to switch between your ledger view and any previously uploaded or synced transactions as needed.

  • Watch the Triple-Tie Banner as you check off transactions. When all three balances agree, you’re ready to reconcile.

  • Click Reconcile to complete once balanced.

The manual workflow does not use the Match Confidence Tracker or Match Drawer, since no statement has been uploaded and no bank connection is active. All matching is done by you directly.



How Matching Works

Rentvine uses a two-step matching system to generate suggested matches:

Step 1 — Rules-Based Matching

  • The system first evaluates exact signals: amount, date, check number, and transaction type. When all signals align, confidence is high, and the match is reliable.

Step 2 — Intelligent Matching

  • When rules-based logic alone isn't sufficient, a second layer evaluates description similarity and transaction patterns to suggest the most likely match and assign a confidence score.

In both cases, you remain in control. Suggested matches can be reviewed and overridden at any time using the Match Drawer.



What to Do If a Match Doesn't Make Sense

Try these first:

  • To combine several ledger entries against one bank line (for example, a lump deposit): open the bank transaction in the Match Drawer and select each ledger entry that makes up the total.

  • If the ledger entry is missing: add it in Rentvine, then return to the reconciliation.

    • Bank Sync: click Refresh New Matches so the system looks for a match again.

    • Match Assist or Manual: the new entry appears in the Rentvine list. Match it yourself.

If you encounter a transaction where the suggested match (or lack of match) doesn’t look right, and you can’t resolve it manually, please open a support ticket so our team can investigate.

To submit a ticket, include the following details:

For the bank transaction:

  • Date

  • Amount

  • Description as it appears on your bank statement

  • Transaction type (deposit, withdrawal, etc.)

For the Rentvine transaction (if one exists):

  • Date

  • Amount

  • Description or reference number

  • Transaction type and which ledger it appears on

Common Mistakes to Avoid

  • Uploading a statement for the wrong period.

  • Forgetting to click Refresh New Matches (Bank Sync). After you add a missing transaction to your ledger, come back and click Refresh New Matches. This button is only in Bank Sync. In Match Assist and Manual, the new transaction appears in the Rentvine list for you to match yourself.

  • Assuming Connected means transactions are already synced — always verify the Last Sync timestamp.

  • Skipping No Match transactions — these are the most important items to resolve.

  • Uploading a statement with Bank Sync on. The upload looks successful, but it’s saved as a supporting document and no matching runs. Turn Bank Sync off, then upload again.

  • Assuming Matched means unchecked. Matched transactions are already checked. If you don’t spot-check them, they’re included when you reconcile.

  • A Start Date later than the End Date. Check both dates against your statement before you upload or start reviewing.



Frequently Asked Questions

  • Can I use Bank Sync and Match Assist at the same time?
    No. Choose one per reconciliation. If Bank Sync is on when you upload a statement, the file is saved as a supporting document and Match Assist won’t run.

  • Can I reconcile monthly using Bank Sync?
    Yes, transactions accumulate over time and will be ready when you’re ready to reconcile.

  • Can I upload multiple statements for Match Assist?
    No, one statement per reconciliation, and it must be a PDF. Image files can be attached as supporting documents, but Match Assist can’t analyze them.

  • Can I upload a statement just for record keeping?
    Yes. When you upload, choose Recordkeeping Only. The statement is attached to the reconciliation, but no matching runs.

  • I connected my bank but don't see any transactions. What should I do?
    ​
    Wait for the Last Sync timestamp to appear; this'll confirm data has been pulled.

  • I selected the wrong bank account in Plaid. How do I fix it?

    1. Go to Bank Accounts.

    2. Click Remove Connector.

    3. Return to the reconciliation page and reconnect with the correct account​.

  • Can I still reconcile manually without using Bank Sync or Match Assist?
    Yes, Toggle Bank Sync off and skip the statement upload. See the Manual Workflow section above for step-by-step instructions.

  • Can I match one transaction to several?

    Yes, both ways. One bank deposit can cover several Rentvine transactions, for example three tenant payments deposited together. Or one Rentvine transaction can show up as several lines on your bank statement.

    Rentvine looks for these groups and suggests them when the amounts add up exactly. When it’s very confident, it checks them for you. More often, you’ll see them in Needs Review to accept, so don’t wait for them to be checked off on their own.

    You can always match a split yourself. Open the transaction in the Match Drawer and select every row on the other side that belongs with it. The amounts must add up exactly. If you’re off by even a few cents, something is missing or entered wrong.

  • I’m trying to connect my bank through Plaid, and nothing happens. Could my security software be blocking it?
    Yes, that’s a common cause. Some security suites — Kaspersky, Norton, Bitdefender, and others — open banking sites in a protected or “safe” browser mode. That mode is designed to isolate financial sessions, and it can stop Plaid from completing the connection.

    You don’t need to turn off your protection. Try these in order:

    1. Open the site in your normal browser window. If your security software shows a notice about safe or protected mode, choose the option to open the page in the current window, then start the connection again.

    2. Add an exception for Rentvine. Most security suites let you turn protected browsing off for a single site instead of everywhere. Check your software’s documentation for the exact steps.

    3. Pause protection briefly. If the first two don’t work, pause your security software just long enough to finish connecting, then turn it back on. Your connection stays active afterward.

    4. If it’s still not connecting, a browser extension, ad blocker, or VPN can also interfere. Try an incognito window or a different browser, and reach out to support if the problem continues.

  • How do the Start Date and End Date work?

    Rentvine sets the Start Date for you after your first reconciliation on a bank account. It’s the day after your last one ended, so nothing gets skipped or counted twice. You can only edit it on an account you’ve never reconciled.

    The End Date is the closing date on your bank statement. It sets the cutoff for the page, so anything dated after it is hidden. If transactions are missing or extra ones appear, check this date first.

    If your Start Date looks later than your End Date, the end date you entered falls in a period you already closed. Change it to the closing date on your current statement.

  • How do the Start Date and End Date work?

    Rentvine sets the Start Date for you after your first reconciliation on a bank account. It’s the day after your last one ended, so nothing gets skipped or counted twice. You can only edit it on an account you’ve never reconciled.

  • What do I enter for Ending Balance?

    The ending balance printed on your bank statement, exactly as the bank shows it. Enter a negative number if the account was overdrawn. It saves when you click or tab out.

    Where it comes from depends on how you reconcile:

    1. Match Assist: when you upload your statement, Rentvine reads the ending balance off the document and fills it in. Always check it against your statement before you go on.

    2. Bank Sync: your bank connection brings in transactions, not balances, so you’ll enter this yourself each period. The field starts at 0.00, so be sure to replace it.

  • What does “Clean up match selections” do?

    Sometimes a match disappears, but the checkmark pointing to it stays behind, usually after a statement is re-uploaded or deleted, or a matched deposit or payout is voided. Those leftovers make your matched counts or cleared total look wrong.

    This removes them. Real matches and your own matching aren’t affected, and nothing in your accounting changes.

    Try it when your counts look off, something shows as matched to a record that’s gone, or your cleared balance doesn’t move the way you’d expect.

    To run it: open More Options, choose Clean up match selections, then confirm. The page refreshes when it’s done.

  • Can I use Bank Sync for my Credit Cards?

    No, Rentvine does not support native credit cards or bank sync for credit cards.

  • Are Matched transactions already selected?

    Yes. Matched transactions are checked for you. If you don’t change anything, they’re included when you reconcile. Spot-check a few before you finish.

  • Why is an obvious match sitting in Needs Review?

    The system found two equally good matches and won’t guess between them. Open the Match Drawer and choose the right one.

  • Can I undo a reconciliation?

    Yes, but only for your most recent reconciliation. Voiding it unchecks its transactions and reopens the period, and the reconciliation before it becomes the current one. To void an older reconciliation, void each newer one first.

  • My statement is still analyzing. Is it stuck?

    Probably not. Large statements can take several minutes, often up to about 7, and the page keeps checking until analysis finishes. If it’s been much longer than that, contact Rentvine Support.
