How to Delete a Lease
Do you have a lease with no financial transactions and would like to remove it from Rentvine? This article will show you how to delete any lease within Rentvine
Please note that if there were any transactions added to the lease unpaid or paid, you will not be able to delete the lease for auditing purposes. Even if you void the transactions, you cannot delete the lease. To fix this, you can change the status to closed, and it will be out of the way.
1. Click on the tab labeled "Leases" on the left side of the screen, then click "Leases". This will pull up a list of all the leases you have.
2. Next, you will search for the specific lease you want to delete. You will then click on that property to pull up the lease.
3. This will bring up the lease, and you will click the green actions button in the top right. In that menu, you will press delete.
4. This will bring up a screen where you will confirm you want to delete the lease by typing delete in the field, then pressing the red delete button.
Why Can’t I Delete Properties, Leases, or Entities in Rentvine, and What Are the Alternatives?
In Rentvine, entities such as properties, leases, and owner contacts cannot be deleted if they have accounting transactions tied to them. This includes voided transactions, which are retained for audit and financial integrity. Instead of deletion, Rentvine provides alternative methods to manage these entities effectively.
Overview of Deletion Restrictions
Entities with any accounting activity—such as charges, payments, or voided transactions—cannot be deleted in Rentvine. This restriction ensures compliance with financial auditing standards and preserves the integrity of accounting records. Even voided transactions remain linked to the entity and cannot be permanently removed.
Handling Properties
If you encounter the error "Cannot delete a property that has accounting transactions," it means the property has financial activity tied to it. Here’s what you can do:
Deactivate the Property: Instead of deleting, deactivate the property to remove it from active workflows. Deactivated properties are not counted as active for billing purposes going forward, though billing for a given month is based on the highest number of active units during that month.
Review Transactions: To understand the financial activity tied to the property, navigate to Accounting > Transactions and filter for relevant records, such as voided transactions.
Handling Leases
Leases with accounting transactions cannot be deleted, even if the transactions were voided. Here are the recommended steps:
Change Lease Status to Closed: - Open the lease. - Click the green Actions button. - Select "Change Status" and set it to Closed.
Review Transactions: - Go to Accounting > Transactions. - Apply filters for "Voided" or other relevant criteria to view associated transactions.
Handle Duplicate Leases: If you have duplicate leases, consider ending or archiving the duplicate instead of attempting deletion. Removing marketing exposure is another non-destructive alternative.
Handling Owner Contacts
Owner contacts with accounting history cannot be deleted. This includes ties to leases, bills, work orders, or RentSign agreements. To manage these entities:
Deactivate the owner contact to remove it from active workflows.
General Guidelines for Deactivation and Status Changes
Deactivation: Use this option for properties, units, or contacts that are no longer active but cannot be deleted due to accounting history.
Status Changes: For leases, changing the status to Closed effectively removes them from active workflows while preserving their financial history.
