How To Set Up Two Factor Authentication

Two-Factor Authentication

For security reasons and to avoid any fraud potential, it is always a good idea to add two factor authentication when generating payouts.

Please note that two-factor authentication is enabled for all users, owners, tenants, and vendors in order to register and log in to their Rentvine account.

MFA is mandatory for all Rentvine accounts and cannot be bypassed or disabled. This ensures enhanced security by requiring a verification code in addition to your password.

  • Two-factor authentication will default to your email address used to register your Rentvine account. You will be prompted to sign in and receive an authentication code to your email. This will look like the below.

  • Troubleshooting Tips for Email Codes: If you experience delays or do not receive email codes:

    • Check your spam or junk folders.

    • Whitelist Rentvine’s email domain (e.g., [email protected]).

    • Avoid requesting multiple codes in quick succession to prevent email provider throttling.

  • If you would like, you can enable the two-factor code to be sent via a text message to your phone. To do this, you can click your name in the bottom left. From here, click "My Profile".

  • From here, you will be able to click on "Setup Phone Number" under the Two-Factor box.

  • This will take you to a screen where you can enter your phone number. This will also prompt you with another verification code that will be sent to your email. You will need to enter this MFA code to change your phone number.

  • Troubleshooting SMS Issues: If SMS codes are not arriving:

    • Ensure your phone number is registered correctly in your profile.

    • Contact your mobile carrier to verify that automated short-code messages are not being blocked.

Once this is done, the two-factor verification codes will be sent to this phone number by default. If needed, you will still have the option to send this by email even after it is sent to the phone number on file.

Note that using a phone number does not bypass MFA; it simply provides an alternative method for receiving verification codes.

  • Email Suppression Lists: If emails are blocked due to a prior delivery failure, contact your email provider to remove the suppression.

  • In addition to this, you can set up an Authenticator app for an additional layer of security. To do this, you will click the Set Up button next to the Authenticator App.

  • This will prompt you to scan a QR code which you can scan through your preferred authenticator app. This will prompt you with a verification code. Moving forward, you will be prompted to use the Authenticator app as your two-factor method.

  • You can also control whether you want to require two-factor authentication for all payouts. From your global settings, you can click on accounting settings. Under General, there is an option to enable "Is Two Factor Required for Payout Approval". If this toggle is on, you will be required to enter the MFA code that is sent to either your phone or email. This is to add an extra layer of security so every payout uses MFA before being sent out.

Please note that this toggle will be set on by default. You can disable this two-factor authentication for payout approval. For security purposes, this is not recommended, and you will see the following notice:

Here is an example of a payout with two-factor authentication required.

Troubleshooting and Account Access Issues

  • Portal Access and Registration: Ensure you accept the portal invitation and complete registration before receiving 2FA emails. Check your spam/junk folders for the invite.

  • Password Reset Emails: If you’re not receiving reset emails:

    • Confirm your account is fully set up by accepting the original portal invitation.

    • Contact your property manager to verify your email address and resend the invitation if necessary.

  • Password Length: Rentvine enforces a 30-character maximum for passwords. If your password exceeds this limit, update it to 30 characters or fewer.

  • Changing Login Email: To update your login email, request your property manager to send a new portal invitation to the desired address.
